Executive Assistant & Client Experience Coordinator Location: Minneapolis, MN
Schedule: Full-Time | Hybrid Flexibility
Compensation: $25/hour About the Opportunity A growing luxury residential construction and lifestyle brand in the Minneapolis market is seeking an Executive Assistant & Client Experience Coordinator to support a highly entrepreneurial founder and fast-moving team. This is not a traditional administrative role. The right person will become a true operational partner to a visionary founder involved in luxury custom home building, podcasting, networking events, brand partnerships, and entrepreneurial communities across the country. Known for luxury custom homes and a highly personalized client experience, the company places a strong emphasis on relationships, communication, and thoughtful design. What You'll Be Doing

Executive & Operational Support

  • Manage calendars, scheduling, and day-to-day coordination for the founder
  • Organize inboxes, prioritize communication, and help ensure important follow-ups never fall through the cracks
  • Prepare weekly priority lists, reminders, and meeting materials
  • Track tasks, conversations, and action items across multiple projects and businesses
  • Coordinate travel, logistics, vendor communication, and miscellaneous operational support
  • Help create organization around an idea-rich founder with multiple initiatives happening simultaneously
  • Assist with CRM management, pipeline follow-up, and relationship tracking

Client Experience & Brand Support

  • Help oversee the client journey from onboarding through post-project follow-up
  • Coordinate meetings, dinners, events, gifts, and thoughtful client touchpoints
  • Assist with reviews, referrals, and client retention initiatives
  • Support podcast logistics, networking events, and community initiatives
  • Build repeatable systems and workflows that improve communication and overall client experience
  • Help maintain a polished, hospitality-driven brand experience across all interactions

What They're Looking For

Experience

  • 3+ years supporting an executive, founder, business owner, or senior leader
  • Experience in luxury service industries, hospitality, events, marketing, real estate, architecture, construction, or client-facing environments is highly preferred
  • Backgrounds that blend organization, communication, and relationship management tend to do especially well in this role

Personality & Work Style

  • Highly organized and naturally proactive
  • Comfortable working with a fast-paced, high-energy personality
  • Able to pivot quickly while still keeping projects and priorities on track
  • Strong communicator with excellent written and verbal skills
  • Confident enough to provide structure, push back when needed, and help prioritize effectively
  • Emotionally intelligent, adaptable, and professional
  • Excited by variety no two days will look exactly the same

Technical Skills

  • Comfortable using CRMs, project management tools, Google Workspace, and collaborative software
  • Experience with workflow systems, automations, or process-building is a major plus
  • Canva, event coordination, or marketing support experience is helpful but not required
