Our client is seeking a highly organized and detail-oriented Project Coordinator to support engineering and construction projects in Chesapeake, Virginia. This role works closely with the Project Manager and project team to coordinate administrative, operational, and communication activities that ensure successful project execution.
The ideal candidate is proactive, collaborative, and capable of managing multiple priorities in a fast-paced project environment while maintaining accuracy and professionalism.
Position Summary
The Project Coordinator facilitates engineering and construction projects by collaborating with project leadership and team members to provide administrative coordination, project tracking, and communication support. This position serves as a key liaison between internal teams, clients, vendors, and stakeholders to help ensure project and program objectives are achieved efficiently.
Key Responsibilities
- Coordinate project activities in collaboration with the Project Manager and project team
- Facilitate communication between vendors, suppliers, clients, and internal stakeholders
- Research and resolve project-related questions and provide timely responses
- Prepare and present meeting notes, reports, presentations, and data tables using Microsoft Office tools
- Manage project setup activities and maintain documentation updates
- Track project deadlines, milestones, and benchmarks
- Support preparation of monthly progress reports, including action items and status updates
- Plan and coordinate on-site and off-site meetings, including orientations, training sessions, stakeholder meetings, and reviews
- Coordinate required training programs and maintain compliance records for project personnel
- Obtain physical document sign-offs and maintain electronic and hard-copy filing systems
- Review bills, invoices, trip tickets, and expense reports for accuracy and compliance
- Coordinate IT resources for project offices and staff with internal support teams
- Provide follow-up reporting on accounts receivable and unbilled items
- Assist with project cost forecast updates and reporting
- Run PPS reports as required
- Investigate project expenses not billed to clients and report findings to the Project Manager
- Assist in preparation of client contracts and subcontract agreements
- Support project closeout activities
- Develop and maintain internal project procedures
- Establish priorities and deadlines for project deliverables
- Perform additional duties as assigned
- Comply with all company policies and standards
Required Qualifications
- Bachelor's Degree in a related field with 8+ years of experience, OR
- Associate Degree in a related field with 10+ years of experience, OR
- High School Diploma/GED with 11+ years of experience
- Ability to work independently with strong accuracy, organization, and problem-solving skills
- Advanced proficiency in:
- Microsoft Word
- Microsoft Excel
- Microsoft Access
- Microsoft PowerPoint
- Excellent organizational, communication, and multitasking abilities
- Demonstrated ability to interact effectively with all levels of an organization
Compliance Requirement
This position supports a federal project and is subject to federal drug-testing requirements. All candidates must successfully pass a drug test as a condition of engagement. Federal requirements apply regardless of individual state laws related to drug use.
