Job Description

We are seeking a highly skilled and proactive Executive Assistant to support the4 executives.This role demands a sense of urgency, strong problem-solving abilities, and theagilityto adapt to changing needs in a fast-paced environment. The ideal candidate will be an expert in calendar and travel management,demonstratesound judgment, and embody a positive, can-do spirit. The ability toanticipateneeds, take ownership of projects, and manage competing priorities is essential. The successful candidate will also be highly responsive, providing quick and efficient support whilemaintainingexceptional attention to detail.

Key Responsibilities:

  • Manage complex executive calendars with precision, balancing competing priorities and schedulinghighlevelinternal and external meetings.
  • Serve as the primary liaison between the executives and internal teams, board members, and external stakeholders.
  • Coordinate comprehensive domestic and international travel arrangements, including detailed itineraries and expense management.
  • Draft, edit, and manage correspondence, presentations, and reports onbehalfexecutive.
  • Maintain project plans, track progress, and collaborate withcrossfunctionalteams to ensure alignment and successful execution.
  • Identifyopportunities to streamline workflows and implement innovative solutions that enhance efficiency and organizational impact.
  • Support the planning and execution of board meetings and executive team meetings, including preparing agendas, presentations, and briefing materials.
  • Coordinate the development and distribution of materials for Board of Directors and executive leadership meetings.
  • Assistwith special projects, conduct research, and follow up on action items to ensure companywide initiativesremainon track.
  • Handle sensitive information related to company operations,workforce, and financial matters with absolute discretion.

Skills:

  • Proven experience supportingCsuiteexecutives or multiple senior leaders within a matrixed organization.
  • Exceptional organizational andtimemanagementskills, with the ability to manage multiple priorities in afastpacedenvironment.
  • Strong analytical,problemsolving, andcriticalthinkingabilities.
  • Outstanding written and verbal communication skills.
  • ExcellentProficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and modern collaboration tools.
  • Demonstrated ability to handle confidential information with integrity.
  • Sound judgment and a proactive,solutionsorientedmindset.
  • Ability to handle ambiguity and adapt to rapidly changing priorities.
