1. Role Overview & Business Context:
The Hiring Manager, Christian, is seeking a contractor to support an existing, highly established Knowledge Management Platform used primarily by Telecommunication internal marketers.
- The Content Scope: The platform houses roughly 2,000 pieces of internal market research and tens of thousands of external research pieces ingested via API.
- The Team Setup: The selected candidate will directly support two highly experienced internal team members (one a PMP-certified B2B proposal expert, the other a 10-year Knowledge Management veteran) who hold the historical context of the program.
2. Core Responsibilities & Ideal Candidate Profile:
Christian simplified the ideal candidate's background into three primary operational pillars, along with clarification on what this role is NOT:
- Pillar 1: Content & Knowledge Management (80% of the Role)
- Focuses heavily on organizing, metadata tagging, and auditing files (specifically PowerPoint documents, PDFs, Excel reports, and dashboards).
- Critical Clarification: This is not a website content or social media role. Candidates with backgrounds purely in digital web editing, blogging, social media management, or customer-facing marketing campaigns are not a fit.
- Pillar 2: Complex Calendaring & Event Logistics
- Managing the end-to-end invitation lifecycle for high-volume internal events. This includes handling large distribution lists, sending invites to hundreds of people, and tracking post-session attendance metrics.
- Bi-weekly live research sharing meetings regularly host over 200 internal attendees from multiple departments.
- Pillar 3: Internal Communications Drafting
- Drafting monthly newsletters, translating internal success stories into bulleted/summary formats, and compiling metrics on "most popular" content pieces. Candidates do not need deep domain expertise to write standalone research perspectives.
- Ideal Job Titles: Knowledge Analyst, Knowledge Manager, Content Analyst, or Content Manager.
- Preferred Domain: Experience working within or supporting a Marketing / Market Research business unit. Candidates should at least be familiar with the language of the domain.
- Bonus Trait: An appetite for and baseline experimentation with AI tools to scale efficacy and impact. Expertise is not expected.
3. Technical Applications & System Usage:
- Advanced M365 (Outlook & Teams): This is the highest-stakes technical requirement. The candidate must be an advanced power user capable of configuring complex, large-scale event settings behind the scenes (e.g., assigning AI facilitator roles, setting up auto-recordings, sending from shared delegate mailboxes, and managing optional registration setups for up to 5,000 people).
- Excel: Used heavily for data tracking, auditing content collections, and identifying duplicate files.
- SharePoint: Used strictly for minor, standard internal team collaboration; it is not the primary knowledge platform being utilized.
Key Responsibilities:
Program & Operations Support
- Manage meeting logistics, including scheduling, inbox coordination, and creation of meeting bridges for Insightful events
- Support event execution by uploading recordings, managing registration pages, and coordinating calendar invites and follow-ups
- Maintain distribution and access lists, including updating opt-in communications and onboarding new users
- Upload and organize content within the Insightful platform, ensuring proper metadata tagging and structured collections
- Conduct periodic reviews to identify duplicative, outdated, or missing content, and perform quality checks on collections
- Maintain SharePoint repositories, including uploading attendance reports and communications metrics
- Assist in drafting and distributing communications, including newsletters, event follow-ups, and recognition announcements
- Capture and translate Insightful success stories into usable content for broader communications efforts
- Maintain communications tracking tools, including the annual Comms and Training tracker, and support monthly reporting
- Develop and update training materials for new features, resources, and programs
- Support onboarding and training events, including logistics coordination and post-session follow-ups
- Maintain user access updates, including monthly reporting for RAI dashboard access
