Introduction

We are seeking a highly organized and proactive individual to provide comprehensive administrative support to our executive team. The ideal candidate will have a strong ability to manage multiple tasks, prioritize effectively, and work independently in a dynamic environment.

Required Skills & Qualifications
  • Prior experience as a Senior Administrative Assistant.
  • Experience with Concur for travel and expense management.
  • Experience coordinating and managing global team routines and events.
  • Experience in managing executive calendars and prioritizing activities.
  • Proficiency with MS Office Products (Outlook, Word, Excel, PowerPoint).
Preferred Skills & Qualifications
  • Knowledge of banking systems.
  • Resourceful and able to work autonomously across a complex organizational structure.
  • Adaptability and ability to work well with people with different interpersonal styles.
  • Ability to maintain an organized workspace and adapt to daily changes.
  • Demonstrated ability to interact with senior-level executives.
  • Ability to work independently, multi-task, manage time wisely, and handle confidential material with integrity.
  • Strong executive presence and superior interpersonal communication skills.
  • Ability to multi-task in an urgent and deadline-driven environment.
  • Demonstrated accuracy and thoroughness in work.
  • Excellent attention to detail and organizational skills.
  • Proactive attitude with the ability to stay focused and maximize time efficiently.
  • Enthusiasm, patience, and a positive attitude are essential.
  • Prior work experience at client or in client's industry.

Day-to-Day Responsibilities
  • Manage the schedule and calendar of 2 executives, including meetings, telepresence, conference rooms, and travel.
  • Screen and respond to incoming meeting emails and proactively manage correspondence.
  • Prepare executives for meetings, assist in compiling documents and materials.
  • Arrange complex and frequently changing travel plans and itineraries.
  • Process expenses and assist with administrative aspects of the leadership team.
  • Coordinate and manage team events and outings.
  • Order supplies, handle access requests, and communicate with teams.
