Job SummaryDay to day you will receive and sort mail, assist with setting up work meetings, follow security policies, inventory/order office supplies, and other duties as needed. As a Front Desk Coordinator, you will be responsible for the appearance and tidiness of all common areas.
Key Responsibilities- Professionally manage all incoming calls and correspondence; handle routine inquiries and direct others as appropriate.
- Prepare sign-in and security logs and ensure they are properly recorded.
- Receive, sort, log and distribute incoming mail and packages and organize and send outgoing mail and packages.
- Order office supplies and manage inventory levels.
- Maintain a clean appearance in the main common areas (e.g. lobby, supply rooms and conference rooms).
- Coordinate and track service calls for office equipment.
- Coordinate conference room scheduling and assist with office event planning/department projects.
- Handle special administrative projects and overflow work from other departments.
- Assist office manager and Administrative Assistants with event planning.
- Create and receive purchase orders using Oracle Financials.
- Other duties as assigned.
- Demonstrated customer service orientation, with the ability to interact professionally, courteously and effectively with employees, visitors and vendors.
- Strong written and oral communication skills, including the ability to present ideas and suggestions clearly and effectively.
- Ability to work with different functional groups and levels of employees to effectively and professionally achieve results.
- Strong organizational skills; ability to accomplish multiple tasks within the agreed upon timeframes through effective prioritization of duties and functions in a fast-paced environment.
- High School diploma or GED required.
- Associate or Bachelor's degree preferred.
- Minimum 2 years' experience in a professional office environment required.
- Experience with Oracle Financials preferred.
